Management

Full management

A bespoke and complete management service covering every core service on this page. We can add further services to create a truly bespoke package for your block.

Managing agent

A managing agent's role today is extremely varied, from dealing with a plumbing emergency to liaising with a concerned leaseholder. Our service is not reactive or set in stone. Some boards are very hands-on and want only supervision and guidance; others are new to the role, and we take control of the management with just their oversight. Either way, we work in the best interests of your members and shareholders.

Initial handover & integration

We undertake a full and comprehensive handover from your current managing agent, developer or freeholder, so everything is covered and managed from day one. No hassle, no quibble, and never "that isn't part of our job". Think of us as an extension of your board: there is no such thing as a silly question, and we guide you every step of the way.

Safety & compliance

Statutory records & reminders

Fire risk assessments, alarm and emergency lighting tests, electrical and gas certificates, lift inspections, asbestos surveys, water hygiene and insurance — logged on our software with reminders before each falls due. A complete record showing the duty of care has been met.

Out of hours: 24-hour line

Whichever service you choose, if there is an emergency or urgent issue in the evening, at the weekend, on a bank holiday or even on Christmas Day, you will be answered and looked after.

Insurance & works

Choosing the right insurance

Three quotes from specialist block brokers at every renewal, set out side by side in plain English so your board can compare cover, excesses and exclusions. We also arrange Directors' & Officers' cover.

Three quotes for any works

For any remedial or new works, we write a clear specification, obtain three quotes from suitable trades, check they're pricing the same job, then arrange and check the work — without you trawling Google or trade websites.

Contracts & retendering

We review every on-site contract — cleaning, grounds, lifts, gates, window cleaning — and retender where we can find better value.

Major works & Section 20

Full statutory consultation under Section 20 of the Landlord and Tenant Act 1985, then tendering and supervision — from redecoration to large-scale projects.

Drone & building surveys

CAA-licensed in-house drone surveys of roofs, brickwork, gutters and tree canopies, plus building surveyors and CCTV drain surveys.

Money

Budgeting

Realistic budgets built with your board, covering short, medium and long-term maintenance and every estate contract.

Full financial management

Client and reserve accounts reconciled monthly and invoices paid, all visible online to directors. Just tell us whether you would like simplified monthly or quarterly management accounts for your board. We also work hand in hand with your choice of accountant to produce audited year-end accounts where needed.

Bank account & paying bills

Your choice. We can open and run a dedicated bank account for your block, paying contractors and suppliers on time. Or your board keeps full control of its own account, and each month we send you a clear list of the bills and invoices due, ready for you to approve and pay.

Service charge collection & recovery

Accurate demands issued on time, costs allocated correctly under the lease, ground rent collected for freeholders, and arrears chased firmly and fairly.

Company & lease

Company secretarial services

We can act as company secretary for your RMC or RTM company: Companies House filings and confirmation statements, share and director registers kept up to date, new directors and shareholders registered, and annual accounts submitted on time. Included in the Platinum service, or available on the Standard service for a small fee.

AGMs

With the Platinum service, we will attend your AGM if required and prepare a short update report for members, covering the year's works, finances, compliance and what's planned next.

Sales packs & notices when a flat is sold

For a small fee, we can also help when you sell your property and the solicitors need the packs. Our software produces the paperwork straight from the block's records, quickly and accurately:

  • Management pack on the LPE1 form, or FME1 for freehold houses on a managed estate or private road
  • Service charge, budget, accounts, reserve fund and arrears information
  • Insurance schedule, fire risk assessment and other compliance documents
  • Building Safety Act leaseholder deed of certificate and landlord's certificate, where required
  • Replies to the buyer's solicitor's additional enquiries
  • After completion: notice of transfer, notice of charge, deed of covenant and share certificate, and the new owner set up on the service charge account

Lease administration

A review of your lease to confirm financial periods and demand dates, clear advice on everyone's covenants, and breaches dealt with properly.

Right to Manage

Help for qualifying leaseholders to set up a Right to Manage company and take back control of their building, followed by management from day one.
